Step-by-Step Crew Manning Procedures-

Step 1: Crew Requirement Assessment

  • Receive crew requirements from shipping companies, vessel owners, or managers.
  • Identify the number of crew members needed, their ranks, and experience levels.
  • Determine specific qualifications, certifications, and licenses required.

Step 2: Crew Recruitment & Selection

  • Post job openings on the agency’s website and job portals, Facebook, Insta.
  • Source candidates from the agency’s database and referrals.
  • Screen applicants based on qualifications, experience, and certifications.
  • Conduct initial interviews and shortlisting.

Step 3: Document Verification & Compliance Check

  • Verify seafarer documents such as passports, visas, STCW certificates, medical certificates, and experience records.
  • Ensure compliance with international maritime regulations (IMO, STCW, MLC, etc.).
  • Perform background checks and reference verification.

Step 4: Final Interview & Selection

  • Schedule final interviews with the shipping company live interview or virtual interview, if required.
  • Assess technical knowledge, soft skills, and readiness for the assignment.
  • Confirm the final list of selected candidates.

Step 5: Pre-Employment Medical Examination (PEME)

  • Arrange a medical check-up for selected crew members at an accredited clinic.
  • Ensure all candidates meet health standards required for seafaring.

Step 6: Contract Signing & Documentation

  • Issue employment contracts to selected crew members.
  • Ensure contracts comply with maritime labor conventions (MLC 2006).
  • Collect signed agreements and necessary documents.

Step 7: Visa Processing & Travel Arrangements

  • Apply for necessary visas, work permits, and seafarer transit visas.
  • Arrange flight bookings and transportation to the port of embarkation.
  • Provide pre-departure briefing on company policies, ship details, and safety protocols.

Step 8: Crew Deployment & Reporting

  • Ensure smooth onboarding and handover at the designated port.
  • Provide port agents with necessary details for crew arrival.
  • Report deployment status to ship-owners and managers.

Step 9: Continuous Monitoring & Support

  • Maintain communication with deployed crew for updates or assistance.
  • Offer 24/7 support for emergencies and grievances.
  • Track contract completion and plan for crew rotation or replacement.

Step 10: Post-Deployment & Performance Evaluation

  • Conduct debriefing sessions after contract completion.
  • Gather feedback from both the crew and the ship-owner.
  • Update crew records and consider them for future deployments.
